I expect that due to the amount of money involved (I'm guessing around $75 to $100 per person), that there will be a registration process involved. Details are still being worked out, but we will likely collect funds in advance for this event and only those people who register will be allowed to attend.
Not to worry (I wouldn't trust a stranger on the internet either)....one idea at this point would be to register and mail a check for the dinner to me, but your check would be made out to the restaurant. That way, I wouldn't be stuck with paying for no-shows and we would have a firm headcount at least 7-10 days in advance. We are examining other ways to handle this as well that would be convenient as well as safe.
There would also be a strict deadline and probably a limitation on the total number of people that could be accommodated.
We want this event to be a success! Any other thoughts or comments are welcome and encouraged.
I double checked with many of the restaurants we were looking at and all required a guaranteed headcount with a 50% cancellation fee inside 30 days to book a private room.
The preferred date from the responses I got was for March 25. We could do one of the following:
(1) Proceed with the March 25th date and make a general reservation.
(2) Postpone the dinner until sometime in Mid-May (or later - I'm booked solid in April) to allow enough time for pre-registration and sufficent time to meet any cancellation obligations.
I'd like to have our decision made by this weekend as to which option is preferred. Please give any feedback you have.
The feedback I'm receiving on this event is welcomed. However, I envisioned doing the whole private room thing, with the A/V capabilities so we could enjoy photos and videos of previous events, plus have time to meet and chat without interference. I think we should focus on that....and delay our event date until we can find suitable accommodations as well as allowing proper exposure with ample time to plan/execute successfully.
Therefore, the MBWorld Dinner #1 will proceed, but at a future date....likely to be in June. My schedule is mostly packed in April and May and I feel I may have pushed too hard to develop appropriate plans for our function with only 4-5 weeks notice, not realizing initally that any cancellation of the event would need a minimum of 30 days notice. We need a solid 75-90 days to allow folks to register in advance and make their plans accordingly....this also buys us flexibility.
